Polite payment reminder scripts in Hindi and English

A useful payment reminder states the correct balance, refers to the agreed date and asks for one clear action. It should sound like a business record, not a threat. Start gently before the due date, become more direct after a missed promise, and always update the ledger after the customer replies or pays.

The scripts below are starting points. Replace names, amounts and dates with verified ledger information. Send reminders privately and at reasonable times. Never shame a customer in a group, publish their balance or use abusive language.

Before sending any message

Check the ledger first. Confirm that all payments, returns and discounts are entered. Verify UPI receipts in the actual account rather than relying only on a screenshot. A reminder containing the wrong amount damages trust and makes future collection harder.

Choose the right stage. A payment due in two days needs a friendly advance note. A payment overdue by three weeks after repeated promises needs a firm limit message. Do not send the strongest wording as the first contact.

Keep a record of the reminder date and any response. A note such as “Customer promised ₹1,000 on Friday” gives the next follow-up a factual basis. If several family members buy under one account, confirm who is responsible for payment so messages do not go to the wrong person.

This message works because it assumes normal payment and asks for the method, not an excuse. Send it one or two days before the agreed date for customers who appreciate reminders. If a customer always pays automatically, unnecessary messages can feel intrusive.

For a business client, add the invoice reference: “Invoice HAI-104 for ₹4,800 is due on 8 August.” Do not attach a document containing unrelated customer or bank details.

Reminder on the due date

English:

Hello [Name], ₹[Amount] is due today as agreed. You can pay by [accepted methods]. Please reply after payment so we can update your ledger.

Hindi:

Namaste [Name], hamari baat ke anusaar ₹[Amount] aaj due hai. Aap [payment methods] se payment kar sakte hain. Payment ke baad reply karein, hum ledger update kar denge.

If the customer pays, reply with the amount received and new balance. Example: “Received ₹1,500 by UPI. Remaining balance ₹600. Thank you.” This confirmation catches mistakes quickly.

If there is no reply, wait a reasonable period based on the relationship. Multiple messages within a few hours usually do not improve collection.

First overdue reminder

English:

Hello [Name], our ledger still shows ₹[Amount] pending from [Original Date]. Please pay by [New Date] or reply today with a practical payment date. If you have already paid, please share the transaction reference so we can check it.

Hindi:

Namaste [Name], hamare ledger mein [Original Date] se ₹[Amount] pending dikh raha hai. Kripya [New Date] tak payment karein, ya aaj ek practical payment date batayein. Agar payment ho chuka hai to transaction reference bhejein, hum check karenge.

The wording leaves room for a missing entry but requests a specific answer. Avoid “pay immediately” unless there is a genuine contractual reason. A realistic new date is more valuable than an angry message that produces silence.

Instalment proposal

When the full amount is difficult, offer a structured choice.

English:

Your pending balance is ₹[Amount]. If full payment is difficult, we can record instalments of ₹[Instalment] every [Week/Date]. Please confirm the first payment date. New credit will remain paused until the balance reduces.

Hindi:

Aapka pending balance ₹[Amount] hai. Agar poora payment mushkil hai to hum ₹[Instalment] ka instalment har [Week/Date] record kar sakte hain. Pehle payment ki date confirm karein. Balance kam hone tak naya udhar roka rahega.

Do not promise an instalment arrangement the business cannot monitor. Enter every instalment separately and keep the original balance history.

Worked example: moving from reminder to plan

Sanjay owes ₹3,600, due on 5 July. On 4 July, the shop sends the friendly reminder. Sanjay replies that a client payment is delayed. The shop records the conversation and asks for a realistic date. He promises 10 July.

On 10 July, no payment arrives. The shop sends the first overdue reminder and offers either ₹3,600 by 12 July or two instalments of ₹1,800. Sanjay pays ₹1,800 by UPI on 11 July. The shop verifies the transaction, records it and confirms:

Received ₹1,800 on 11 July. Remaining balance is ₹1,800, due on 18 July as agreed. New credit is paused until then.

Sanjay pays the second instalment on 18 July. The cycle closes at ₹0. The shop did not send daily threats, did not extend more credit and did not mark the first partial payment as full settlement.

If Sanjay had missed the instalment, the next message would state that new credit remains stopped and request an in-person discussion or final date. The tone stays professional because the ledger supports every statement.

Firm message after repeated broken promises

English:

Hello [Name], ₹[Amount] remains overdue despite the payment dates agreed on [Dates]. We cannot provide further credit. Please pay ₹[Minimum Amount] by [Date] and contact us today to confirm the plan.

Hindi:

Namaste [Name], [Dates] ko agree ki gayi payment dates ke baad bhi ₹[Amount] overdue hai. Hum abhi aur udhar nahi de sakte. Kripya [Date] tak kam se kam ₹[Minimum Amount] pay karein aur aaj payment plan confirm karein.

Use this only when the history supports it. Do not add legal threats you do not understand or intend to follow. For large commercial disputes, seek qualified advice rather than escalating through messages.

Communication rules that protect trust

Send the balance privately. Use the language the customer understands. Keep messages short enough to read but complete enough to avoid ambiguity. Do not include Aadhaar numbers, unrelated purchases or other customers’ data. If using an automated reminder, allow the owner to review the message and timing.

Stop reminders after verified payment. Repeated messages caused by a sync or ledger error make the business appear careless. If the customer disputes an entry, pause collection language and reconcile the account line by line.
